Situation and Task

The average Fieldglass user was not fully trained or have enough experience using the system.

Example:Loblaw and Shoppers have different location codes, often confused by the user resulting in the statement of work or work order to be rejected by the system. The user usually learned this the hard way, by having the order rejected, contacting the Fieldglass team and then, being given the reason as to why the order was being rejected, which took a lot of time. This resulted in invoices not being paid in time, workers not starting to work when needed.

The task at first, was to identify the most common issues and ask SAP to make the necessary rules on the system side to address them.

Action

After considering how long it would take SAP to address the issues initially found, as an immediate solution to decrease order rejection, we decided to create step by step instructional videos and make them available for all users on the company’s learning site, known as Loblaw Academy.
The existing pdf job aid files were also updated with all the changes made to the system in recent times, they were not updated for almost 3 years at the execution of this project and some features explained in those files were decommissioned or outdated.

Results

The training series became the go-to source of information for users to ensure their requests were less likely to be stuck in the integration process or rejected, resulting in less work for the Fieldglass team and rejected orders, creating a more expedite and clean process.
